Volunteer Tracking[edit]

What it does:[edit]

  • Make records of who our volunteers are (volunteer roster)
  • Make records of when they volunteered and for how long (timesheets)
  • Have a brief summary of what we did at each regular workshop

Processes:[edit]

  • Time records at a single consistent URL that's posted, always available

during workshop hours at least, and easy to access for anyone that needs to record hours, searchable, and backed up or printed as paper copies regularly as this stuff is really important.

  • A roster of all volunteers listing basic identifying information,

including scans of any paper applications, but preferably start entering induction sheets digitally from the start.

  • A method for reporting hours for an individual, or for the entire

organization.

  • A method for people volunteering remotely to record hours for volunteer

work they did outside of workshops, e.g. representing us at a conference, or teaching off-site.

  • Workshop reports posted to the forum.
  • Track number of builds via the build program for the purpose of giving

volunteers their free PC

Outcomes:[edit]

  • We are able to contact our volunteers easily
  • We can easily report volunteer hours to external parties for things

like grant applications, or for individual volunteers who may need to demonstrate their hours for community service or other credit.

  • Make sure everyone is updated with current projects and progress.

Volunteer Orientation[edit]

What it does:[edit]

  • Get new volunteers up to speed immediately when they show

up

Processes:[edit]

  • Education about our mission/goals, and overall status
  • Information about projects we have going currently in addition to core

teaching and build activities that they can do

  • Ensure a basic level of competence in PC hardware already, and teach them

via our build program if they don't

  • Make sure they are contactable in the future (get them on our volunteer

roster),

  • Get them an account on the wiki and forum immediately

Build Program[edit]

What it does:[edit]

  • Refurbish donated computers for further donation, internal use, or sale
  • Provide hands-on education about basic PC hardware repair and basic Linux

OS installation/configuration and troubleshooting

  • Always have computers available to work on during regular workshop

sessions

  • Reward volunteers by giving them a free computer

Processes:[edit]

  • The build procedure and associated course materials, always printing out

and available. Should include an easy one-page checklist.

  • Relies on inputs from donations program
  • Keeping the workshop well organized with adequate tools
  • Regular recycling of scrap that didn't make it pass assessment and build

  • Get a source of hardware for the donations program

  • Marketing to solicit further donations
  • Developing partnerships with potential sources of regular donations, e.g.

large institutions

  • Getting donations wherever opportune (a lot of us work in IT and have

plenty of equipment at work and home that can be donated)

  • Tax receipts for donors

Sales and Grants[edit]

What it does:[edit]

  • giving PC hardware to other non-profit orgs
  • selling hardware as a source of revenue to pay our expenses

Processes[edit]

  • selling stuff on craigslist and ebay
  • Accounting for sales for tax filing and managerial purposes
  • giving stuff to other orgs that meet to be determined criteria

Outcomes[edit]

  • operating expenses covered
  • inventory keeps flowing after build
  • charitable activity

Inventory tracking[edit]

What it does[edit]

  • Give us an idea of the status of all of our computers that are ready

for use or distribution at any given moment, post-build/QA

Processes:[edit]

  • a handy spreadsheet or database that things are entered into AFTER

assessment and build

  • asset tag stickers for certain high-value items like PC's and monitors

Outcomes[edit]

  • Track our internal assets
  • Inputs for grant/sales programs

Education Program[edit]

What it does[edit]

  • Teaches interested volunteers about PC and server hardware, basic

networking, Linux usage and administration, and any other technical topics where we can match teachers and students

Processes[edit]

  • Scheduled instructor-led classes by our knowledgeable volunteers
  • a place to post courseware and other educational resources that can be

easily reused

Outcomes[edit]

  • people are edumacated
  • we know we're doing something good

Wiki and Website Maintenance[edit]

What it does[edit]

  • Public image
  • Scheduling of volunteer activities
  • Organization of all our documentation concerning educational materials,

projects, processes, etc.

Processes[edit]

  • The wiki
  • Backend administration, including keeping our domain and hosting current
  • FGS email accounts
